Position Overview

Under general direction, this position will process a variety of functions in a clearinghouse setting; coordinates with agency staff to provide appropriate materials for events; serves as liaison between DNR and licensed vendors; maintains filing system and records for orders processed and distributed; coordinates printing schedules; maintains computerized database used to promote agency programs.

Job Responsibilities

1. Under general direction, processes a variety of office functions in a Clearinghouse setting.

  • Responds to inquiries from representatives of governmental agencies, legislators, private businesses, agency personnel and the general public in regard to publications available from the publication stock room
  • Possesses knowledge of agency programs and personnel to determine priority requests
  • Processes inquiries for information and publications
  • Selects materials from publications stock room and clearinghouse
  • Collects and prepares materials for distribution
  • Distributes State Park magazines according to orders received
  • Works closely with the Bureau of Tourism for orders received
  • Distributes paper to headquarters from other locations using a full pallet on a box truck


2. Coordinates with agency staff to provide appropriate materials for events:

  • Identifies audiences and prepares appropriate materials and brochures
  • Maintains inventory database of materials used for events and programs for documentation and future planning
  • Conducts physical inventory of publications and restocks
  • Works with agency personnel and Unit Manager in the selection of appropriate materials, publications, and agency documents to be used in the promotion of agency programs
  • Suggests and prepares materials for agency personnel involved in conferences, seminars, and workshops


3. Serves as liaison between the department and licensed vendors:

  • Plans, organizes, and arranges delivery and pick up of bulk distributions and materials to license vendors in a timely manner and most cost-efficient manner
  • Operates vehicles not to exceed gvwr of 26,000 lbs requiring a Class C driver's license


4. Maintains filing system of all orders processed and distributed:

  • Maintains and updates extensive inventory of approximately 600 Clearinghouse items, including copy paper, office supplies, envelopes, printed publications, and other various supplies
  • Provides updated inventory to divisions for reprinting purposes
  • Prepares an order for delivery from the off-site warehouse to keep items stocked for walk in customers
  • Operates industrial paper shredder


5. Coordinates printing schedules with agency personnel to coincide with divisional schedules and departmental needs:

  • Prepares material for bulk mailing to sports shows, vendors, state parks, businesses, and individuals throughout the state
  • Inventories and verifies all deliveries of printed materials to the warehouse to ensure quantities delivered and printed materials are correct


6. Maintains computerized database used to promote agency programs:

  • Accesses database for names and addresses of persons requesting information on the outdoors in Illinois to target this group when promoting various other programs of IDNR


7. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Requirements

  • Requires knowledge, skill, and mental development equivalent to completion of four years high school
  • Requires one-year experience in the keeping of stores and stores records

Preferred Qualifications

  • Two (2) years of working knowledge of storeroom and warehouse methods, procedures, inventory record keeping and controls
  • Two (2) years of experience in preparing stock records and reports
  • Two (2) years of experience in performing arduous labor

OSS provides fleet management and administrative services for IDNR properties in districts spread throughout the state of Illinois.
