Caledonia Central Supervisory Union seeks to hire an Administrative Assistant to join their strong Student Services team in the central office in Danville, Vermont. We consist of Peacham School (prek-6), Caledonia Cooperative School District (three Prek-8 schools), Danville School (Prek-12), Cabot School (Prek-12) and Twinfield Union School (Prek-12). We seek a highly motivated, energetic, well organized person to join the team. This is a year round position that offers benefits and paid time off.This individual will support the departments needs with contracts, requisitions, documents needing approval, communications, transportation, and record keeping.
It will also backup the medicaid clerk position and the executive assistant position. Assist with other office administrative duties as well.Essential Functions: - Prepare correspondence, financial statements, child count, and other documents, using word processing, spreadsheet, database, or presentation software.- Enter data and maintain EdDoc (previously Docusped) account managing for student access- Secure file transfer between districts- Track and assign caseloads.- File and retrieve documents, records, and reports- Track out of district, state-placed and extraordinary cost students.- Coordinate transportation needs for students.- Order supplies, maintain records management database systems, and perform basic bookkeeping work.Qualifications: High School diploma or GED 2+ years of related administrative/secretarial experienceRequired Knowledge, Skills and Abilities: - Ability to self-motivate and organize multiple information streams from a variety of sources. - Ability to establish and maintain effective working relationships. - Ability to enforce regulations firmly and with tact.
- Knowledge of modern office practices including computer programs for word processing, several various databases and maintenance of complex spreadsheets. - Ability to compute, analyze and interpret complex statistical data - Mathematical skills. - Critical thinking, and problem recognition and solving skills. - Time management, organizational, and prioritization skills.
- Ability to manage multiple tasks with frequent interruptions. - Ability to communicate, both orally and in writing, interact and work effectively and cooperatively with all people - Ability to make independent judgments. - Ability to recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate safety equipment and report unsafe conditions to the appropriate administrator. - Ability to maintain confidentiality in all aspects of the job in accordance with federal, state, and Caledonia Central Supervisory Union requirements.Tools/Technology Requirements: - Operating knowledge of and experience with personal computers and peripherals.
- Operating knowledge of and experience with word processing, spreadsheet, presentation and database software. Microsoft Word, Excel, PowerPoint, and Google preferred. Along with the district e-mail system, calendar/appointment management system, and the Internet. - Operating knowledge of and experience with typical office equipment, such as telephones, copier, scanner, printer, postage machine and fax machine.Physical and Mental Demands: - Walk up and down stairs within the building (office is located on the 2nd floor) - Prolonged periods of sitting (up to 75% of the time) - Frequent and prolonged keyboarding/writing - Frequent and prolonged talking/hearing conversations - Some bending and twisting to access file cabinets, office printers and supplies Work Environment: Work is normally performed in a climate controlled office environment, with very limited exposure to extreme heat/cold, poor ventilation, fumes, and gases.
