Overview

The Clerical Float serves a very important role in the operation of our TOA clinics. The Clerical Float assists in the operations of each clerical department, demonstrating a broad an d encompassing knowledge of clinical operations, as well as our practice in general.

Responsibilities

The Clerical Float can be called upon to step in and help in numerous roles, or in numerous clinic locations, depending on the need at the time. This is essential to helping TOA achieve its mission of providing the best possible orthopaedic care for our patients and the communities in which we serve. Specifically, the Clerical Float will

  • Patient Access Representative: Working in our Patient Access area, providing check-in and check-out functions. In this capacity, being committed to providing excellent, friendly care for our patients and their families is essential. Responsibilities include: Make charts, enter demographics, check current insurance, get referral information, collect co-pays and past balances, and make return appointments.
  • Surgery Scheduling: Surgery: In the surgery scheduler function, you will; obtain benefits and precertification, schedule with hospital or surgery center, give surgery packets to patient, schedule therapy, schedule any specialist that need supplies for surgery, and complete all necessary documentation for TOA.
  • Appointments: As an appointment scheduler, your patience, knowledge, and problem solving skills will be greatly utilized as you help our patients connect with the care they need. Specifically, you will: answer phones to schedule appointments with patients and doctor’s offices, schedule per individual doctor’s specializations and personal specifications, obtain faxed referrals from outside physician offices and contact patient for scheduling, submit all documentation in accordance with TOA guidelines..

  • Verification of Insurance: verify all insurances for patients scheduled with physicians for office visits at TOA, contact outside insurance companies for benefits not provided through RTS or other internet sources, maintain staying at least one day ahead of schedule, distributing any insurance errors to schedulers to contact patients for correct information, update insurance information as necessary, submit daily reports of errors before and after corrections, assist with any insurance questions doctors, nurses, schedulers, and patients may have.
  • Revenue Cycle Activities: You may also be asked to work on revenue cycle activities, such as daily deposits, reconciling unapplied funds, and self-pay issues
  • Other Activities: Because of the role, the Clerical Float will be called upon to pitch in and help out in a number of different areas as specific clinic needs arise.

Qualifications

At TOA, our patients deserve the best care, and we strive to differentiate our practice by having the most qualified and skilled colleagues availa ble. Here are some of the experience and qualification requirements for our MA role:

  • College is preferred, and a high school diploma or equivalent is required.
  • At least one year medical office administration experience is preferred, with demonstrated success understanding some experience in an orthopaedic office a plus
  • Exceptional customer service and patient focus. Our Clerical Floats must make each encounter as positive as possible, realizing we are there to serve them in the most professional manner
  • Knowledge of Insurance, particularly health insurance provisions is essential,
  • Previous experience including collecting copayment, deductibles, coinsurance, and balances
  • Knowledge of administrative and clerical procedures, including experience with computer systems. Experience with an EHR or NextGen is a plus
  • Focus on attention to detail, ensuring that all documentation is ente red accurately and swiftly
  • The ability to multi-task and maintain flexiblity â€" including flexibility in work schedules to adjust to necessary clinic hours
  • Collaboration, working closely with clinical colleagues and administrative team mates to develop a cohesive, high performing team
  • An energetic and enthusiastic pace at work, with the ability to swiftly and accurately manage the flow of patients through the clinic, without any diminishing focus on patient care
  • Dependability, with a reliance on the capacity to be at work on-time, every day so our patients can receive the care they need in a timely manner
